Job Title: Admissions & Occupancy Manager

Pay Rate: $29.01/Hour

Status: Full-Time Monday - Friday

Position Overview:

The Admissions & Occupancy Manager is responsible for overseeing all aspects of the admissions and occupancy functions. This position ensures compliance with federal, state, and local regulations, particularly those associated with affordable housing programs such as Public Housing, Housing Choice Voucher (HCV), and other subsidized housing programs. The Admissions & Occupancy Manager is responsible for maintaining accurate tenant records, ensuring timely processing of applications, and managing occupancy levels while upholding high standards of customer service.

Key Responsibilities:

  • Oversee Admissions & Occupancy Processes: Manage and supervise the daily operations of the admissions and occupancy processes, including application intake, eligibility determination, waitlist management, and lease-up procedures for public housing and other rental assistance programs.

  • Compliance Management: Ensure all policies and procedures adhere to federal, state, and local housing laws, particularly the Fair Housing Act, HUD regulations

  • Staff Supervision: Lead, train, and supervise a team of admissions clerks, occupancy specialists, and other administrative personnel. Conduct performance evaluations and provide ongoing coaching and professional development.

  • Waitlist Management: Oversee the maintenance of applicant waitlists, ensuring that they are regularly updated, applicants are processed in accordance with priority categories, and required notices are sent in a timely manner.

  • Tenant Communication & Relations: Serve as the primary point of contact for tenants and applicants, ensuring they receive timely and clear information regarding the status of their applications, waitlist placement, and any necessary follow-up actions.

  • Data & Reporting: Prepare and maintain accurate records and reports related to occupancy levels, applicant processing, and unit availability. Use software and data systems to track metrics and ensure the organization s goals are met.

  • Unit Inspection & Move-in Coordination: Ensure that all housing units are inspected and meet occupancy standards. Coordinate move-ins and move-outs to ensure seamless transitions and maximize unit turnover.

  • Conflict Resolution: Address and resolve any issues or complaints related to occupancy, including disputes between tenants and the housing authority or issues related to eligibility or rent adjustments.

  • Collaboration with Other Departments: Work closely with the Maintenance, Finance, and Community Services departments to coordinate unit inspections, maintenance requests, and rent collection.

  • Policy Development: Assist in the development and revision of policies and procedures related to admissions, occupancy, and tenant management.

Qualifications:

  • Education: Bachelor s degree in business administration, Public Administration, Social Work, or a related field is required.

  • Experience: Minimum of 3-5 years of experience in housing management, admissions, or a related field, with at least 2 years in a supervisory or managerial role. Experience working with HUD programs and knowledge of affordable housing regulations is highly preferred.

  • Skills:

    • Strong leadership and team management skills.

    • Excellent communication skills (both written and verbal).

    • Knowledge of federal, state, and local housing policies, especially those related to subsidized housing.

    • Proficiency in Microsoft Office Suite and housing management software (e.g., Yardi, OneSite, etc.).

    • Strong problem-solving skills and attention to detail.

    • Ability to manage multiple tasks and deadlines in a fast-paced environment.

    • Knowledge of Fair Housing laws and practices.

Physical Demands:

  • Ability to sit or stand for extended periods.

  • Occasional lifting up to 20 lbs (e.g., files, supplies).

  • Ability to travel within the city of Orlando as needed for site visits and inspections.

Working Conditions:

  • Office environment with occasional visits to housing sites.

  • Some evening or weekend hours may be required during peak seasons or for special events.
